Construction document management software

The right drawing.
The right revision.
Right where the work happens.

Visibuild connects your document register directly to your live QA workflows. Upload drawings, link them to inspections, and know exactly which revision was used to sign off every piece of work, without leaving the platform.

Documents in action

Documents embedded in quality workflows,
not stored in a folder somewhere.

Visibuild Documents closes the gap between your document register and your QA process, so your records reflect what actually happened on site. This isn’t file storage. It’s a document system built for the way construction actually works.

One connected document library

Upload drawings, specifications, and plans directly into Visibuild.

Organise them by project and location. Every document is structured with revision history, status, and discipline, so nothing gets lost in a sea of attachments.

The right revision, every time

Link any document, or a specific revision of it, directly to a Visi, requirement, or location.

When that work gets reviewed, there’s no question which version was referenced. It’s right there.

Better document experience on site

Trade Partners can open and zoom into high-detail plans on their phone, without leaving Visibuild. No more screenshots. No more app switching mid-inspection.

Full revision traceability

Update a document and the history stays intact. Closed requirements stay linked to the revision they were signed off on. Everything is traceable, for audits, handover, or any dispute that comes up later.

Your team isn’t referencing the latest revision

On most construction sites, referencing a document looks like this: open software, find the file, download it, re-upload it to your QA checklist, or just take a screenshot and hope it’s legible.

It’s slow. It’s error-prone. And when an auditor asks which revision was used to sign off that inspection, you’d better have the answer.

Visibuild Documents

Legacy document management was built for the office.
Visibuild was built for where the work actually happens.

Referencing documents during construction meant jumping between platforms, taking screenshots, and hoping the right revision made it into the record. Visibuild closes that gap, putting documents and quality workflows in the same place, for the first time.

The old way

The Visibuild way

Documents and quality records live in separate systems

Teams across the project, trades, coordinators, and developers, are managing documents in one platform and quality records in another.

Getting a drawing into a QA record means downloading from the document register, re-uploading it somewhere else, or taking a screenshot and hoping the detail is legible. The two systems never actually talk to each other.

Every document connected to the work it governs, in one platform

Open the drawing directly in the same platform where the inspection gets completed.

Full PDF viewer, full zoom, built for mobile. No downloading, no platform switching, no screenshots. The document is right there when the checklist needs it, for trades on the tools and coordinators reviewing from the office.

Revision details added manually, if they get added at all

Drawing references get typed into a short-answer field, noted in a comment, or left blank entirely.

There’s no formal connection between the document and the inspection, just a hope that whoever completed the checklist remembered to note the right revision. When a developer or auditor asks which version was built off, the answer is a manual reconstruction at best.

The exact revision is structured, linked, and locked to the record

Link a specific document, and a specific revision of it, directly to an inspection, requirement, or location.

The connection is structural, not a workaround. When that work is reviewed by a QA manager, coordinator, or developer, the referenced version is right there in the record. No chasing. No guesswork.

Old revision still floating around.

Someone downloads the new revision, re-uploads it as a separate file, and hopes the old one stops getting used.

Both versions sit in the system with no clear relationship between them. Trades build off the wrong revision more often than anyone admits, and by the time it’s caught, rework is already on the table.

One document. Every revision. Nothing lost.

Upload a superseding revision and the full history stays intact.

Work already signed off remains linked to the revision it was completed on. New inspections pick up the latest automatically. Every stakeholder, from the trade on site to the developer reviewing progress, is working from the same version of the truth.

Audit time means reconstructing records across three different platforms

When a certifier, developer, or auditor asks which drawing revision was used to sign off a specific piece of work, the answer requires digging through emails, the document register, and inspection records across multiple systems.

Sometimes there’s a partial answer. Sometimes there’s nothing at all. Either way, it takes time nobody has.

Every sign-off traceable to the exact version, from day one

Every inspection record carries the exact document version it was completed against, traceable, defensible, and ready to present, whether it’s for a client progress review, a building certifier, or a formal audit.

Handover documentation doesn’t start from scratch because the record has been building itself the whole time.

We didn’t build a file storage tool. We built document control for how construction actually works.

Existing platforms handle document workflows well, from the office. But when your team is on site, mid-inspection, those platforms slow everything down. Slow to load. Limited offline access. Completely disconnected from where the actual QA work is recorded.

The difference is simple: storing documents is file management. Embedding documents in a quality workflow is project intelligence.

Frequently asked questions

QA-aligned construction document management

Do trade partners need to pay to access documents?

No. Trade Partners access documents and complete QA through Visibuild at no cost when a General Contractor runs the project on the platform. The whole team works from one system without cost being a barrier to adoption.

What file types does Visibuild support?

Visibuild is optimised for PDFs, the standard format for drawings and specifications on construction projects. The viewer is built for high-detail plans, with full zoom and mobile-first performance.

What happens when a drawing is updated? Does it break existing links?

No. When you upload a new revision, existing Inspection links stay connected to the version they were originally signed off on. New work picks up the latest revision. The history is always intact.

Does Visibuild Documents work offline?

Absolutely yes. Teams can view documents and complete inspections with no internet connection. Everything syncs automatically once connectivity returns, which matters a lot on sites with patchy signal.

Will this replace our existing document management platform?

For smaller Contractors and Trade Partners, yes it can. For enterprise teams running Aconex or Procore, Visibuild Documents is designed to be able to sit alongside those platforms, with integrations coming that will sync the two. The goal is to make Visibuild the place where documents and QA finally connect.
